Shift Handoff Log and Digital Shift Log in a Single Software Application

A handwritten shift log is only as good as the handwriting, and it’s only available wherever it happens to be. In Testify, the shift log is set up as a checklist: Each piece of equipment, production line, or test item is assigned the relevant items—either as a numerical measurement, a checkbox, free text, or a photo. Tolerance limits automatically flag outliers so that the next shift cannot overlook them. Recurring items are available as templates and do not need to be rewritten every shift. Through roles and permissions, each shift group sees exactly the shift log that applies to their area.

Incidents are documented as they happen, not in the last five minutes before the end of a shift. Employees can log malfunctions, downtime, or anomalies directly in the Testify app on a tablet or smartphone, even without an active internet connection. Photos and videos make the condition of a piece of equipment easy to understand without the need for cumbersome descriptions, and thanks to speech-to-text, this works even while wearing gloves. A defect can be logged with its severity level and category and immediately assigned to the responsible person, rather than waiting until the next meeting.

At shift change, the incoming shift can see at a glance what’s pending: ongoing issues, tasks that have been started, and anomalies from the previous shift. Pending items continue as tasks with assigned responsibilities and deadlines and do not disappear at the end of the shift. The handoff can be digitally signed, ensuring that it remains clear who took over what and when. Email and push notifications immediately inform shift supervisors and maintenance staff about critical events without anyone having to actively inquire.

A digital shift log is more than just a replacement for paper: it is only through structured data collection that patterns become visible. In the reporting section, production and maintenance management can see which malfunctions are recurring, on which piece of equipment, during which shift, and at which location. For each shift, Testify generates an audit-proof shift report in PDF format upon request, which remains traceable even years later. For more in-depth analyses and comparisons across multiple plants, the data can be transferred directly to Power BI or the existing ERP system.
