Record serial numbers and fully trace components

To ensure that items can be traced later, you first need a clear structure. In Testify, products, assemblies, and individual parts are represented hierarchically as test objects; each serial number is a separate object with its own history. Inspection object types define which inspections apply to which component types, ensuring that each serial number automatically receives the correct checklists. Master data can be imported or transferred via the ERP integration, eliminating the need for duplicate maintenance. User-defined fields accommodate additional characteristics such as batch, supplier, or production order.

Manually entered serial numbers are the most common source of errors in traceability: all it takes is one digit out of order, and the assignment is no longer correct. In the Testify app, simply scanning a QR code, barcode, or RFID tag on the component is enough to open the correct serial number and the associated inspection. This works on tablets and smartphones, even without an active internet connection, and syncs automatically as soon as a connection is reestablished. Production employees can use it directly, without having to go through a PC workstation.

Every test result, every measurement, and every photo is directly assigned to the scanned serial number, along with a timestamp and the name of the person who performed the test. If a value deviates from the stored tolerance limit, it is immediately flagged and can be recorded as a defect with a severity level and category. The timeline provides a complete, traceable record of which inspections a single component has undergone and who approved it. Digital signatures make approvals binding without the need for a paper work slip to be passed along.

If a component is returned, simply searching for the serial number is enough to view the complete inspection history: which checks were performed, when, and with what results; which measurement values were recorded; and which defects were documented. This analysis allows you to narrow down affected batches and production periods, rather than replacing an entire series as a precaution. For each serial number, Testify generates an audit-proof test report in PDF format upon request for the customer, warranty purposes, or audits. For more in-depth analysis, the data can be transferred to Power BI or the ERP system.
