Lack of standard and paper-based processes
Due to Arvato’s decentralized structure across many different locations, implementing a uniform standard for operating and building technology was a challenge. Depending on the location, maintenance work on expensive and highly complex machines was still carried out manually and on paper, which was no longer compatible with Arvato’s paperless standards and led to inefficient workflows, limited transparency and an incomplete database.
Without a structured data basis, process optimization was only possible to a limited extent. At the same time, there was potential to increase efficiency, improve data quality and reduce costs in the long term.

The introduction began with one location as part of a proof of concept (PoC). The aim was to test Testify under real conditions and develop a scalable standard process.
Development of a global standard process
Based on the pilot phase, an efficient standard process was developed to gradually integrate further locations. The high level of acceptance led to site managers sharing experiences internally and actively supporting the rollout.
