Digitization success story of ekey biometric systems

ekey has been developing and producing biometric access solutions for around 20 years and has thus been a digital company from the very beginning. Before the ekey finger scanners inspire customers, they undergo a strict endurance test. Ekey uses Testify as an integrable quality management tool to support requirements for the QM system. It encompasses the entire supply chain, automatically integrates order and product data from ekey’s internal third-party systems, and enables the digital execution and coordination of company-wide, complex inspection processes.

Initial situation at ekey before Testify

In order to comply with the strict quality requirements, ekey strives for the continuous improvement and further development of the internal quality processes. Before Testify was implemented, ekey documented test results from incoming, intermediate and outgoing goods inspections. The testing process was paper-based and the cooperation in QM was carried out by physically forwarding the test and issue documentation. In order to further expand the quality inspections, ekey considered the integration of further measurement and test values, as well as a digital process for further increasing the efficiency of the cooperation.

In its efforts to further develop and digitalize the QM processes, Testify as an enterprise solution was able to help with the following challenges:

Challenges at the beginning


Integration into existing (ERP) systems.

In the future, the digital quality management process is to encompass the processes of the entire supply chain. Therefore, a system is needed that interacts with existing EPR systems and makes optimal use of existing digital measurement values. The individual departments should be able to transfer their established quality processes individually into the new, digital system, but these should be digitally tunable and integrable across the entire supply chain.

Simplification of test processes.

The existing test procedures should be secured in the future digital documentation. The digital system should help to digitally map test procedures and to comply with defined processes. It is desirable to capture the entirety of all test processes and, in the event of issues, to enable fast reaction and simple documentation.

Pilot operation for test purposes.

ekey started with the Testify pilot operation in the incoming goods inspection. Ekey deliberately limited itself to only one testing process in order to compare the Testify functions with the general internal requirements for a new, digital QM system. The simplicity in relation to the achieved documentation quality was convincing - the department needed only a fraction of the time of the previous test process and was able to gain a lot of additional quality data. The intuitive operation of the web app and the individually configurable checklists were another plus. For ekey, the decision to roll out Testify across departments was quickly made.


Digitize inspection processes of the supply chain.

In preparation for a comprehensive rollout of Testify, the individual departments map their proven test procedures in the Testify web app. ekey thereby digitizes the incoming and outgoing goods inspection as well as tests for work safety. The integration of suppliers is currently being planned. The individual departments use the Testify checklist designer function to create individual product groups, test procedures, test instructions and other internal checks and processes in the web app. The QM staff can now document the professional execution of these test procedures as well as any issues via web app on desktop, tablet or smartphone, replacing paper and pen.

Create issue categories & show improvement potential.

ekey pays special attention to the creation of standardized issue categories, which enable a fast and structured recording in case of an issue. The categorization has been systematically arranged in hierarchies in order to gain detailed insights into the processes or frequently occurring issues. For example, the inspection of a cable in case of an issue can be divided into an electrical issue, dimensional issue, material issue, optical/surface issue or packaging issue. This strong categorization of issue not only supports standardized documentation, but also allows the Testify analysis function to optimally evaluate recurring issue, identify inefficiencies and enable rapid troubleshooting.


Synchronization with ERP system.

Not only the employees, but also ekey's internal ERP systems (Microsoft NAV and the Reitec test equipment system) generate data that is essential. Through Testify's modern REST-API interface, Testify can be linked to any third party system. At ekey, Testify acts as a platform and thus as the heart of a digital test system, in which the existing third-party systems are integrated. The data generated from the EPR systems (such as order data or calibration of measuring equipment) are automatically transferred to Testify and provide important real-time information for the execution of quality tests (e.g. blocking of measuring equipment that is no longer usable for a test). The generated data from the Testify Web-App (e.g. test results) are simultaneously sent back to the ERP system and trigger further processes automatically. This two-way synchronization between the systems provides automated data reconciliation in real-time.

Testify as an enterprise solution brings ekey considerable time savings and documentation quality in operative QM management, as well as in the proof of product safety. Thanks to the digital documentation, every quality inspection can be traced back to individual product components in an audit-proof way. Thus, a complete documentation and automatically generated reports are available at the push of a button.
