That said, quality management—or QM for short—is considered a core management function.

In some industries, quality management systems are required by law, such as in aviation, aerospace, the automotive industry, medicine, pharmaceuticals, and food manufacturing. However, many other industries also use quality management systems as part of their continuous improvement processes.

What is a quality management system?

QM can be described as an organizational system that ensures the quality of goods, services, and processes, which are then evaluated against customer requirements. QM can be divided into four major areas: planning, management, monitoring/inspection, and improvement/optimization. QM methods and tools have been established to carry out these individual tasks, and they are described below.

These are the goals of QM.

The goal of a quality management system is not to continuously improve the quality of, for example, manufactured products. Thus, even a manufacturer of low-cost products can certainly have a good QMS that monitors compliance with the customer’s specifications. The goal here is not to achieve the best possible quality, but rather to meet the predefined quality objective. It is important to understand that it is not the products themselves that are used for certification (ISO 9000), but rather the (business) processes necessary for their production.

Quality Planning—Planning is half the battle.

Product planning involves determining the future characteristics required of a product or service and is therefore an essential part of quality management. This planning process encompasses all technical and organizational measures that prepare for, support, and verify the creation and maintenance of a previously defined quality standard.

The EN ISO 9000:2015 quality management standard defines quality planning as part of quality management, which focuses on establishing quality objectives and the necessary implementation processes, as well as the associated resources required to meet those quality objectives.
A key task in this phase is to document the quality requirements of customers and suppliers.

Management has a wide range of quality planning tools at its disposal:
• APQP – Advanced Product Quality Planning
• FMEA – Failure Mode and Effects Analysis
• QFD – Quality Function Deployment Method
• Conjoint Analysis
• GAP Analysis
• Test Control Plan and Test Plan.

The stated goal of quality planning is to implement the customer’s requirements and quality characteristics.

Quality Control—Prevention, Monitoring, and Correction

Quality control, also known as quality regulation or quality management, is the “part of quality management that focuses on meeting quality requirements” (DIN EN ISO 9000:2000-12). Quality control is designed to monitor processes and to improve and optimize unsatisfactory results through its work and activities. The measures derived from these quality planning results may relate to the product, the manufacturing process, or the personnel involved in manufacturing.

Quality control distinguishes between direct and indirect quality control. Direct quality control influences the activities and resources used to implement the unit during the implementation process. Indirect quality control improves the quality capabilities of the personnel and resources used to implement the unit; thus, its effects can only be realized in future implementations.

The two best-known components of quality control are complaint management and document control.

Quality Control/Inspection – Determination of Quality Characteristics

Quality control/inspection is the specific process of determining whether products or services meet certain conditions and is therefore an essential part of quality management. Quality control/inspection thus serves to operationally determine the extent to which a product or service meets quality requirements. Depending on the application, testing can be based on hard or soft factors.
With digital quality control tools, data can be recorded and analyzed directly on a mobile device. In industrial settings in particular, so-called CAQ systems are used, which partially capture and evaluate measurement data digitally. Objective inspections are primarily found in production: These measure and record, for example, physical properties (length, width, weight, density, speed) and are evaluated in the quality control chart. In addition, processes for manufacturing products are increasingly being inspected. Efficient data collection and the presentation of that data in dashboards for monitoring defined KPIs form the foundation for success in this area.

As previously explained, there are different quality inspection methods for every field, industry, and department. The most well-known methods are:
• Self-inspection / Self-monitoring
• Sorting inspection
• 100% final inspection / Grading inspection
• Sampling systems / Statistical quality control
• Outgoing goods inspection (manufacturer) / Incoming goods inspection (customer)
• External testing facilities—testing laboratories, measurement rooms, testing institutions

Digital web apps already support digital collaboration across organizational boundaries, where the entire product value chain can be mapped out on a single data platform.

Quality Improvement – Analyzing Information and Findings

Today, quality improvement is at the heart of quality management activities. The goal of quality improvement is to ensure, on an ongoing basis, that the organization’s quality capability is enhanced through appropriate measures, thereby enabling it to respond more flexibly to market or customer requirements. A key component of this is establishing appropriate structures to raise quality awareness among all employees, for example through a company-wide improvement program (BVW) or a continuous improvement process (KVP) to achieve product and process improvements, as these make a significant contribution to quality improvement.

DIN EN ISO 8402 (1995-08) defines quality improvement as follows: “Measures taken throughout the organization to increase the effectiveness and efficiency of activities and processes in order to achieve additional benefits for both the organization and its customers.” In practice, quality improvement is achieved through internal audits and the corrective actions derived from them, as well as through corrections made in response to errors, external complaints, and statistical findings. Preventive actions are taken before an error occurs, often based on risk analyses.

Methods for Improving Quality in a Company:
• Kaizen / Continuous Improvement (KVP)
• PDCA Cycle
• Six Sigma
• Total Quality Management
• Quality Circles
• Business Process Reengineering
• Performance-Based Pay Systems
• Employee Suggestion Programs
• Benchmarking

Conclusion

Quality management means using a management system to ensure that the expected and defined requirements regarding the quality of a company’s outputs (products and services) are met efficiently and effectively. This requires coordinated activities to lead and direct a company or organizational unit with regard to the quality of operational processes and conditions. These activities typically include establishing quality policy and objectives, quality planning, quality control, quality assurance, and quality improvement.
Therefore, quality management is the totality of all measures aimed at improving processes, products, and services.

Would you like to manage your quality processes and make quality measurable? Please contact us.

Quality management generally encompasses all organizational tasks aimed at improving or achieving process and product quality.
