ekey biometric systems – a digital success story:

ekey has been developing and producing biometric access authorisation systems for about 20 years now, so they are a digital company from the first. Before ekey´s scanning solutions thrill their customers, they have to go under an acid test. Ekey uses Testify as an integrated quality management tool, to impose their requirements on a quality management system. Supply Chain, integrated and automized order and product data of ekey´s systems are integrated. So a digital fulfillment and cooperation of company-wide and complex check processes is enabled.

Digital quality processes

Mission at ekey: Quality inspections are documented directly inside Testify´s intuitive WebApp. The current status of inspections is always availlable in realtime for all coworkers and issues can be allocated and fixed by the required teams. All processes and activities are audit proof, documented in a PDF-protocol and can be used for audits or certifications.

API connection with third-party system

Mission at ekey:  Testify is used as connector between an ISO-certified quality management system and ekey´s ERP system (Microsoft Navision). Relevant data become synchronised and sent back to the ERP system. This bothsided, automized synchronisation ensures an immediate data synchronization and minimizes data redundancies. Further processes along their Supply Chain can be designed contemporary in their leading system.

Realtime Reporting-Tool

Mission at ekey: Those digital documented inspections are analysed in realtime within PowerBI Reporting-Dashboards. On individual Dashboards, the current status of all quality processes is visible. Customer defined KPI´s enable insights into quality along the whole Production-Chain, from goods in to goods out.

Initial situation at ekey before Testify:

To meet strict quality requirements, ekey strives to improve their quality processes continously. Ekey used to document inspection results in the areas of goods in, goods out and material handling. This process was paperbased and collaboration in the quality management departmant was based on physical check- and issue-documentation. Ekey´s target was to integrate further checks to gain data and improve efficiency in collaboration. The desired digitalquality management process should contain processes from the whole supply Chain. A system, that comunicates with the existing ERP system was required and existing measured values should be used. All departments should be able to implement their quality processes into the new, digital system, but they should be digital adjustable and integrateable along the whole Supply Chain.

All existing inspection processes should be secured by digital documentation. A digital system should help to project processes digital and ensure their fulfillment.

1. Testing in test mode

Eekey started with the Testify pilot operation at the goods in inspection. Ekey deliberately limited itself to just one test process in order to compare the Testify functions with the general internal requirements for a new, digital QM system. The simplicity in combination with the documentation quality achieved convinced Ekey, that they ar on the right track with testify. The following departments only needed a fraction of the time of the previous test process and was able to gain a large number of additional quality data. The intuitive operation of the web app and the customizable checklists were a further plus. For ekey, the decision was quickly made to roll out Testify across departments.



2. Digitalizing check processes inside their Supply Chain

In preparation for a comprehensive rollout of Testify, the individual departments map their proven testing processes into Testify with the Webapp. Due that, ekey digitizes the incoming and outgoing goods inspection as well as work safety checks. Integration of suppliers is currently under constuction. Individual departments use the Testify checklist designer function to create individual product groups, test procedures, test instructions and other internal checks and processes via Testify´s Webapp. The QM employees can now document the proper execution of these test procedures and any defects by using the Webapp on their desktop, tablet or smartphone and replace paper and pen.


3. Setting up issue categories and demonstrate improvements

Ekey pays particular attention to the creation of standardized issue categories, which enable a quick and structured recording in the event of an error. The categorization was systematically broken down into hierarchies in order to obtain the most detailed insight into the processes and frequently occurring defects. For example, testing a cable in the event of a defect can lead to an electrical defect, dimensional defect, material defect, optics / surface defect or packaging defect. This sophisticated categorization of issues does not only support standardized documentation, but also enables the Testify analysis function to optimally evaluate recurring defects, identifies inefficiencies and enables quick troubleshooting.



4. Connection with ERP-system

Not only the employees, but also the ekey internal ERP systems (Microsoft NAV and the test equipment system Reitec) generate data that is essential. With Testify’s modern REST API interface, Testify can be connected to any third-party system. At ekey, Testify acts as a platform and thus the heart of a digital test system in which the existing third-party systems are integrated. The data generated from the ERP systems (such as order data or calibration of the measuring equipment) are automatically transferred to Testify and provide important real-time information for carrying out quality checks (e.g. blocking measuring equipment that can no longer be used for a test). The generated data from the Testify web app (e.g. test results) are sent back to the ERP system at the same time and automatically trigger further processes. This two-way synchronization between the systems provides automated data synchronization in real time


5. Time savings & documentation quality

Testify as an enterprise solution brings ekey considerable time savings and documentation quality in operational QM management, as well as in the verification of product safety. Thanks to digital documentation, every quality inspection can be traced back to individual product components in an audit-proof manner. This means that complete documentation and reports that can be generated automatically are available at the push of a button.

6. Testify Enterprise Solution

Ekey uses all available Testify functions to build a coordinated, comprehensive, digital quality management system. Real-time analysis of the data, coming from all integrated systems, provides the base for continuous improvement and further development of the quality processes.

By implementing Testify as a platform, ekey is a rolemodel for the possibilities that Testify opens up in order to make complex, cross-departmental quality processes digitally efficient, adjustable and documentable in a standardized manner.
